1. Introduction
The Papaa Escola Parent Portal is an official digital service of Papaa Escola Schools. It gives the parents and guardians of our enrolled students a simple, secure way to follow their child's day-to-day school life — attendance, homework, fees, school notices and more.
These Terms of Use (the "Terms") explain how the Parent Portal works and the few simple ground rules for using it. By signing in to or using the portal, you agree to these Terms.
Please also read our Privacy Policy, which explains how we look after your family's information. It forms part of these Terms.
2. About Papaa Escola
Papaa Escola is an educational institution, operated by Papaa Escola Education Trust. We run our schools and educational programmes, and we provide the Parent Portal — available on the web and as a mobile app — as one of our own services to keep our school families informed and connected.
In plain English
The Parent Portal is run by your child's school, not by an outside company. When these Terms say "we", "us" or "the school", they mean Papaa Escola.
3. Eligibility
The Parent Portal is intended for the parents and guardians of children currently enrolled at a Papaa Escola school. Access is provided to you by the school — there is no public sign-up.
To use the portal, you must be at least 18 years old and an authorised parent or guardian of the child whose information you access. By using it, you confirm that this is the case.
4. Parent Accounts
Your account is created by the school. When your child joins us, we set up your parent access using the contact details you provided at admission. You do not need to register yourself.
- How you sign in — With your registered phone number and your child's date of birth. There is no separate parent password.
- More than one child — If you have more than one child with us, a single account can cover them — you simply choose which child to view after signing in.
- Keeping details current — If your phone number or other details change, let the school office know so we can update your records.
5. Student Accounts
Students do not have their own login for the Parent Portal. A child's information is accessed by their parents or guardians through the parent account, so that families can support their child together.
6. Admission and School Records
When your child is admitted, we create your child's profile and your parent access. Records such as admission details, attendance, fees, marks and report cards are created and maintained by the school as part of running your child's education.
Need a correction?
The portal shows your child's records but does not let you edit them directly. If you spot something that needs correcting, contact the school office and we will update it.
7. Parent Responsibilities
- Provide accurate details — Give the school correct contact and family information, and let us know when something changes.
- Keep your access private — Take reasonable care of the phone and details you use to sign in, and tell the school if you think someone else has gained access.
- Communicate respectfully — Use the portal's messaging, grievances and other features respectfully toward teachers, staff and other families.
- Use it for your own child — Access only your own child's information through your account.
8. School Responsibilities
As your child's school, we will:
- Maintain your child's records and keep them up to date.
- Provide and look after your parent access to the portal.
- Protect your family's information with appropriate security, as described in our Privacy Policy.
- Obtain any consents we need — for example, before using photographs of your child.
- Respond to your requests to review or correct your child's records.
9. Using the Parent Portal
Depending on the features your child's school has enabled, the portal lets you:
- View your child's attendance, homework, report cards, exam results and daily activities.
- Read school notices and the calendar, events and weekly menu.
- See photos and videos shared by the school in the gallery.
- View fee details, make payments your school records, and submit payment proof.
- Message teachers, book parent-teacher meetings, and raise grievances.
- Receive and manage notifications about your child's school life.
10. Acceptable Use
To keep the portal safe for everyone, please do not:
- Try to access information about any child or family other than your own.
- Disrupt the portal, or try to get around its sign-in or security features.
- Copy or extract information from the portal by automated means.
- Upload anything unlawful or harmful, or harass or abuse staff or other families.
Misusing the portal — including attempts to reach other families' information — may result in your access being suspended.
11. Attendance
The portal shows your child's attendance as marked by their teachers, and may include check-in and check-out times where the school records them. The school maintains the official attendance record; if something looks wrong, please contact the school.
12. Academic Information
Report cards, marks and exam results appear in the portal once they are reviewed and published by the school. Until they are published, results are not final. For questions about your child's progress, please speak with their teacher or the school.
13. Homework
Teachers may post homework and assignments in the portal, including due dates and any attachments or images. Homework is shown for your information and to help you support your child at home.
14. School Notices and Announcements
The school shares official notices and announcements through the portal. A notice may be sent to all families or to a particular class, and the portal records when one has been read so the school knows information has reached you.
15. Communication
Where enabled, the portal lets you exchange messages with your child's teachers about your child. Please keep messages respectful and relevant. The school may review messages sent through the portal.
Portal messaging is not for emergencies. For anything urgent, please contact the school directly by phone.
16. Parent-Teacher Meetings
When the school opens parent-teacher meetings, you can book an available time slot through the portal. Bookings depend on the school's schedule and available slots, and a teacher may add notes or follow-up points after the meeting.
17. Grievances and Feedback
If you have a concern or feedback, you can raise a grievance through the portal. The school reviews grievances and responds, and you can follow the status of your request.
18. Fee Payments
Fees are set by the school. The portal shows your child's fee details and dues and lets the school record payments and issue receipts.
- How you pay — By the methods your school accepts — such as UPI, bank transfer, cash or cheque recorded by the school, or an online payment option where the school has enabled one.
- Payment proof — You may be able to upload a payment screenshot or reference so the school can confirm and record your payment.
- Questions and refunds — Any question, correction or refund relating to fees is handled by the school office.
19. Notifications
The school may keep you informed through in-app notifications, email, and — if you use the mobile app and allow them — push notifications on your device. You can manage your notification preferences in the app and in your device settings, though some important messages may still be sent.
20. Intellectual Property
- School and family content — Records and media created by the school, and material you provide (such as a payment screenshot), belong to the school or to you, as applicable.
- The portal itself — The Parent Portal software, design, name and branding belong to Papaa Escola. You may use the portal as intended, but you may not copy, modify or resell it.
21. Availability
We aim to keep the portal reliable and available, but we cannot promise it will always be uninterrupted or error-free. We may carry out maintenance, release updates, or add or change features from time to time. The features you see also depend on what your child's school has chosen to offer.
22. Suspension
We may suspend access to the portal where necessary — for example, to protect families' information, to carry out maintenance, or in response to misuse of these Terms.
23. Termination
Your access to the Parent Portal is linked to your child's enrolment. When your child is no longer enrolled, or if the school changes your access, your access to the portal will end. After access ends, your child's records continue to be handled as described in our Privacy Policy.
24. Disclaimers
The Parent Portal is provided on an "as is" and "as available" basis. To the extent permitted by law, we do not give warranties that it will be uninterrupted or error-free. Information shown in the portal is recorded by the school in the ordinary course of running the school; if you notice an error, please contact us so we can correct it.
25. Limitation of Liability
To the maximum extent permitted by law, Papaa Escola will not be liable for any indirect or consequential loss, or loss of data, arising from your use of, or inability to use, the Parent Portal. Nothing in these Terms limits any liability that cannot be limited or excluded under applicable law.
26. Governing Law
These Terms are governed by the laws of India, and any disputes relating to them or to the Parent Portal are subject to the jurisdiction of the courts of Tamil Nadu, India.
27. Changes to These Terms
We may update these Terms from time to time — for example, to reflect new features or legal requirements. When we make important changes, we will update the "Last updated" date below and, where appropriate, let you know through the portal. Continuing to use the portal after an update means you accept the revised Terms.
28. Contact Us
For anything about your child's records, fees or school life, the best first point of contact is your school office.
